From fragmented scheduling and manual processes to data-driven accountability and growing community access

The Challenge: Complex Systems, Manual Workflows, and Limited Visibility

Springfield initially explored Facilitron years before implementation while searching for a new work order and facility management platform.

At the time, the district ultimately stayed with its existing provider, largely because Facilitron had not yet developed the work order functionality the district needed. But the implementation process proved lengthy and resource-intensive.

“The implementation took several months, a lot of training, and we even hired a project manager to help us through it,” Terry explained.

Over time, the district experienced:

  • increasing software costs,
  • declining customer service,
  • overly complex workflows,
  • and mounting frustration with disconnected systems.

At the same time, Springfield’s rental operations remained highly manual.

Billing inconsistencies, handshake agreements, lack of centralized oversight, and uneven enforcement of policies made it difficult to manage community use effectively.

“We had the data, but it was garbage in, garbage out,” Terry said. “It wasn’t reliable.”

The district also lacked real-time visibility into:

  • who was using facilities,
  • whether groups were properly scheduled,
  • insurance compliance,
  • and overall utilization trends.

Why Facilitron

When Springfield revisited Facilitron several years later, the conversation quickly changed.

“The work order system was a lot more desirable because it was simple,” Terry explained. “Our previous system had become extremely complicated. Facilitron’s system was intuitive and tied directly into facility scheduling.”

“That billing piece and making sure insurance was updated immediately took workload off district personnel,” Terry said.

“Because the photos were already taken, it was basically like a week and we were up and running,” Terry recalled. “The learning curve was super short because of the simplicity of it.”

Immediate Operational Improvements

For Springfield staff, the operational benefits became clear almost immediately.

Facilitron helped centralize scheduling, improve accountability, and streamline communication between departments and facility users.

“It’s the first thing I check in the morning after my email,” says Springfield Public School Foreman, Chris Smith, referring to the district’s custodial scheduling and time-off workflows now managed through Facilitron. “I know who’s out for the day and who’s out for the week so I can get people in place.”

The district also worked closely with Facilitron to customize workflows and processes specific to Springfield’s needs.

“The biggest thing for me was Facilitron’s willingness to work and tweak the system for us,” Chris said. “When we had concerns or needed adjustments, they listened and made it happen.”

That collaborative approach became a recurring theme throughout Springfield’s experience.

Building Accountability and Consistency

One of the most significant changes for Springfield was the increased accountability created by the platform.

“There’s a word that could be considered great on our side and taboo on theirs: accountability,” Chris explained. “The platform generates accountability for us and for the renter. There’s no wiggle room.”

The district now has:

  • centralized scheduling visibility,
  • documented approvals,
  • standardized workflows,
  • and stronger enforcement of facility use policies.

Custodial teams can immediately identify unscheduled groups on campus, while administrators have real-time insight into facility activity across the district.

“When our custodial crews don’t see something on Facilitron and somebody shows up, we know immediately,” Chris said.

The district also began implementing broader districtwide scheduling policies supported by the platform.

“We’re implementing more procedures districtwide for scheduling where it wasn’t really procedure before,” Chris said. “The trackability of it is going to help increase cost recovery even further.”

Data-Driven Decision Making

Facilitron also gave Springfield access to meaningful operational data for the first time.

The district now uses reporting and analytics to:

  • track facility utilization,
  • support planning conversations,
  • justify operational decisions,
  • and communicate with community partners and neighboring districts.

“We’ve generated meaningful reports that give us the supplemental information we need to back ourselves up,” Terry explained. “Now we can say, ‘Here’s the data and here’s why we need to do this.’”

The district also used Facilitron reporting to coordinate facility usage discussions with neighboring school systems and community organizations.

Significant Revenue Growth

As Springfield strengthened procedures and increased operational consistency, the district began seeing improvement in cost recovery through its facility rental program.

Prior to Facilitron, the district had recovered only modest facility-use costs despite significant staff time devoted to managing facilities manually.

Today, Springfield’s facility rental program has grown dramatically.

According to Facilitron reporting shared during the interview:

  • 2023 rental activity totaled approximately $145,000
  • 2024 increased to approximately $258,000
  • 2025 surpassed more than $282,000

“By paying the service fee and building things correctly, we’re recovering far more operational costs than we were before,” Terry said. “For me, it was a no-brainer.”
