Dear Community Organization,
The Hillsboro School District values the many community organizations that utilize our schools and facilities to provide opportunities for students, families, and community members. We appreciate your partnership and commitment to serving our community.
Beginning with the 2026-27 school year, the Hillsboro School District will implement a new facility support requirement for certain community events held in interior district facilities.
What is changing?
Any weekday evening event, (game, competition, performance, or contest) that includes spectators will require the presence of an HSD Event Host. Practices, rehearsals, training, meetings, and other activities that involve participants but do not involve spectators will not require an Event Host. Weekend events are unchanged and will still require the presence of a custodian.

Event Host Fee
Organizations utilizing district facilities for qualifying events will be charged $30 per hour for Event Host services. This fee will be included as part of the facility reservation and billing process through Facilitron.

Role of the HSD Event Host
The Event Host serves as the district's on-site representative and is responsible for:

● Ensuring the facility is opened and prepared for the event
● Assisting with any approved facility setup requirements
● Monitoring the designated use area during the event
● Supporting adherence to facility use expectations and district guidelines
● Assisting with cleanup of the event area following the conclusion of the event
● Serving as a point of contact for facility-related needs during the event

Event Hosts will be assigned and scheduled by the HSD Facilities Office. Organizations will not be responsible for arranging Event Host staffing and may not provide their own “Hosts”.

This change is intended to improve facility support, provide a consistent experience for community users, allow our evening custodians to clean and ready our buildings for the next day and help ensure district facilities remain safe, welcoming, and well-maintained for all participants and spectators.

All internal and external reservations need to be canceled at least 72 hours prior to the event state date/time. Any reservations not cancelled 72 hours prior, or no shows, will be billed $120 per reservation, per occurrence. This is to ensure door schedules, HVAC and other operations are adjusted appropriately.
